Job description

Role of the Operations Team

  • Fund Administration and Accounting:
  • Record Keeping: Maintaining accurate records of all transactions, including investments, distributions, and capital calls.
  • Financial Reporting: Preparing financial statements, investor reports, CMA quarterly reports, or as requested, ensuring compliance with accounting standards and regulatory requirements.
  • Capital Call Management:
  • Capital Call Notices: Preparing and providing investor relations with notices when the fund needs additional capital for investments or expenses.
  • Tracking Commitments: Monitoring each investor's committed capital, called amounts, and remaining balances, and updating investor relations accordingly.
  • Record Keeping: Maintaining documentation of all capital call activities.
  • Reconciliation: Ensuring received amounts match called amounts and addressing discrepancies or delays.
  • Bank Account Management: Allocating cash flows into appropriate sub-accounts as per fund manager instructions.
  • Reporting: Updating internal systems with new capital positions and notifying the investment team of fund availability.
  • Distribution Management:
  • Distribution Calculation: Determining distribution amounts for unitholders, considering expenses and deductions.
  • Distribution Execution: Transferring distributions to unitholders and confirming receipt.
  • Cash Flow Management: Ensuring timely and accurate investor distributions.
  • Compliance and Regulatory Reporting:
  • Fund Documentation: Coordinating with legal advisors for fund documentation and updates.
  • Regulatory Filings: Ensuring compliance with regulations and preparing necessary filings.
  • Audit Coordination: Collaborating with external auditors during audits.
  • Client Documentation: Managing client files, registration of units, and reviewing KYC and subscription documents.
  • Transaction Processing:
  • Investment Transactions: Coordinating settlements and ensuring proper documentation and fund transfers.
  • Expense Transactions: Executing fund expense transactions with proper documentation.
  • Risk Management:
  • Monitoring: Overseeing operational risks, including liquidity risks, and implementing mitigation processes.
  • Controls: Maintaining internal controls to prevent errors and fraud.
