Job description

The External Research Supervisor is responsible for overseeing the administration and management of all externally funded research grants awarded to faculty. Acting as the primary liaison between the university, external funding agencies, and faculty members, the Supervisor ensures that all grant activities from proposal submission to final reporting are executed in compliance with sponsor requirements and university policies. This role includes budget oversight, progress tracking, and coordination with internal departments such as Finance and Procurement to ensure the efficient processing of payments and reimbursements. The Supervisor also supports faculty in preparing proposals, maintains accurate records, monitors policy updates from funders, and generates internal and external reports on research performance. Additionally, the role contributes to strategic planning and continuous improvement initiatives within the Office of Research and Innovation.

Primary Duties & Responsibilities

  • Oversees the administration and management of all external research grants awarded to faculty.
  • Acts as the primary liaison between the university, funding agencies, and faculty recipients.
  • Ensures proper budget planning, tracking, and utilization in alignment with grant terms and university policies.
  • Coordinates with the Finance and Procurement departments to ensure smooth processing of payments, purchases, and reimbursements.
  • Monitors grant timelines and deliverables, ensuring that progress reports are submitted by faculty as per sponsor requirements.
  • Reviews faculty reports and submissions to ensure completeness and compliance prior to submission to funding bodies.
  • Maintains accurate records of all funded projects, budgets, reports, and communication.
  • Keeps track of updates and policy changes from external funding agencies and informs faculty as needed.
  • Provides support to faculty in preparing proposals and submitting documentation for new external funding opportunities.
  • Generates periodic internal and external reports on the status and performance of externally funded research projects.
  • Contributes to the development of departmental strategies, annual operational plans, and achievement reports for the Office of Research & Innovation.
  • Benchmarks new initiatives and supports the implementation of strategic improvements to streamline external research grant processes and enhance operational efficiency.
  • Manages relationships with external funding agencies by attending meetings, providing updates, and addressing any concerns related to ongoing or potential grants, ensuring strong partnerships and continued support for future research funding.
  • Performs all other duties in a professional, effective, and confidential manner.
  • Performs all other related duties as required or assigned by manager.

Education & Qualifications

  • Certification in Project Management or Research Administration (e.g., Certified Research Administrator, CRA).

  • Minimum of six (06) years experience in research administration, grant management, or related fields.
