Job Description:

Leads and provides support to organizational operations by maintaining office systems and supervising staff. This position ensures that the office runs smoothly and effectively by identifying office management improvements that lead to increased efficiency.

Responsibilities:
  1. Manage office administration and ensure smooth overall operations.
  2. Establish and monitor office procedures; coordinate schedules, appointments, and bookings.
  3. Promote seamless cooperation within the department and implement process improvements to offer cost-efficient services that meet business and statutory requirements.
  4. Maintain office efficiency by planning and implementing systems, layouts, and equipment procurement.
  5. Allocate resources effectively to enable successful task performance.
  6. Coordinate staff activities to maximize efficiency.
  7. Organize orientation and training for new staff.
  8. Coordinate effectively with department and office staff.
  9. Ensure security, integrity, and confidentiality of correspondence and information.
  10. Design and maintain an effective filing system.
  11. Assign staff to organize appointments with the supervisor and provide reminders to ensure critical meetings are not missed.
  12. Prepare professional reports, memos, or presentations as requested, within established deadlines and with minimal errors.
  13. Compile data and prepare error-free reports or collate data for supervisor review.
  14. Prepare accurate, well-presented correspondence daily.
  15. Ensure all required correspondence is submitted for signature/approval within one day of instruction receipt.
  16. Submit all reports timely and accurately.
Job Experience:
  • Total of 11 years of experience required
  • At least 5 years in a similar role
  • 5 years experience in GCC preferred
Education:
  • Bachelor's Degree in Business Administration, Finance, Accounting, Economics, Public Administration, or related fields
