The Executive Assistant to the General Manager plays a vital role in supporting the GM in all aspects of daily operations, ensuring efficient communication, organization, and project management. This role requires exceptional discretion, professionalism, and a proactive approach to managing the GM’s schedule, correspondence, and key initiatives.
As the GM’s right hand, you will act as a trusted liaison between internal teams, external partners, and senior leadership, helping drive operational excellence and seamless coordination.
Key Responsibilities
Manage the General Manager’s calendar, including scheduling meetings, appointments, and travel arrangements with precision and foresight.
Screen, prioritize, and respond to incoming communications, emails, and calls on behalf of the GM.
Prepare and edit correspondence, presentations, reports, and meeting agendas with accuracy and professionalism.
Coordinate and follow up on key projects and action items, ensuring deadlines are met and information flows smoothly.
Facilitate communication between the GM and hotel departments, corporate offices, clients, and external stakeholders.
Assist in organizing internal and external meetings, events, and VIP visits, including logistics and hospitality arrangements.
Handle confidential information with utmost discretion and maintain a high level of professionalism at all times.
Support the GM with special projects, research, and data analysis as required.
Maintain filing systems, databases, and documentation to ensure easy retrieval and compliance with company policies.
Act as an ambassador for the GM, representing the executive office positively and professionally within the hotel and with external contacts.
Qualifications
Minimum 5 years of experience as an Executive Assistant or similar role, preferably supporting senior leadership in luxury hospitality or corporate settings.
Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
Excellent written and verbal communication skills with strong attention to detail.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with digital communication tools.
High level of discretion and confidentiality in handling sensitive information.
Strong interpersonal skills with the ability to build effective relationships across all levels of the organization.
Proactive, resourceful, and solution-oriented mindset.
Ability to work independently and as part of a team.
Bachelor’s degree or equivalent experience preferred.
