Correspondence & Communication Management
Organize the schedule and appointments of the CEO's office agenda.
Coordinate and follow up on airline and hotel reservation tickets and arrange the necessary means of transportation to organize the travel process.
Organize, save, and archive incoming and outgoing records, files, and documents to facilitate and expedite reference to them when needed.
Prepare comprehensive briefing documents, background notes, talking points, and meeting agendas tailored to each visit.
Manage and respond to internal and external correspondence related to incoming and outgoing transactions, as directed; ensure timely, accurate, and professional handling of communications, maintaining alignment with organizational protocols and priorities.
Perform day-to-day business operations and provide leadership and guidance to the Business Management team.
Personnel & Task Coordination
Oversee and manage day-to-day personnel matters, including task delegation to housekeeping staff and coordination with drivers.
Ensure efficient communication of assignments and locations to support smooth operations and timely execution of duties.
Act as the central point of contact for service staff to streamline workflow and address any operational needs promptly.
On-call duties may be required as needed.
Appointment & Medical Coordination
Arrange and manage appointments, ensuring schedules are organized and aligned with priorities.
Monitor and follow up on medication refills and healthcare needs to ensure continuity and accuracy in medical care.
