Job description

Job Purpose

The Sales & Leasing Performance Unit (PU) within Qiddiya is responsible for developing best practice sales and leasing standards and expertise within the organization. Its strategic objectives include ensuring the development of sales and leasing best practices to support the Sales & Leasing Operations team, ensuring consistency across projects, supporting ongoing training & development of team members, and providing guidance on procedures and tools.

The Sales & Leasing PU develops and manages policies, procedures, standardized documents, templates, sales and leasing tools, and operations. It also manages an online training academy focused on sales and leasing curriculum. Additionally, the unit manages the customer journey for sales and leasing across asset class development Business Units, including CRM, digital tools, and experience centers, along with ongoing management of sales and leasing operations. The team provides market intelligence and benchmarking support as needed.

The Executive Assistant provides high-level administrative support to the Executive Director, handling information requests, preparing reports, scheduling meetings, coordinating communications, and performing clerical functions. The role requires discretion, strong organizational skills, and professionalism in handling confidential information.

Role Description

Core Accountabilities

Responsibilities include, but are not limited to:

  1. Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
  2. Screen and direct phone calls, emails, and correspondence; respond or delegate appropriately.
  3. Prepare and edit reports, presentations, and other documents as needed.
  4. Coordinate internal and external meetings, including logistics, agendas, minutes, and follow-ups.
  5. Maintain electronic and physical filing systems, ensuring information is accessible and up to date.
  6. Handle confidential information with integrity and maintain strict confidentiality.
  7. Liaise with internal departments and external stakeholders on behalf of the executive.
  8. Assist with personal administrative tasks as required.
  9. Monitor and manage office supplies and budgets related to the executive.
  10. Perform other administrative duties as assigned.

Requirements

Knowledge, Qualifications & Skills required

Essential (must have to perform the role):

  • Associate or bachelor’s degree in business administration or a related field preferred.
  • 3–5 years of experience in a secretarial or administrative role, preferably in a multi-unit or cross-functional environment.
  • Strong verbal and written communication skills.
  • Excellent organizational, multitasking, and time management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management tools.
  • High level of discretion and professionalism.
  • Ability to work both independently and collaboratively across teams.
