Qualifications

  • Conduct research and produce documents and presentations.

Job Description

Job Purpose: An Executive Assistant supports the President by handling tasks such as scheduling, reviewing, prioritizing and responding to emails, answering and returning phone calls, organizing documents, maintaining records, taking notes at meetings, conducting research, and any other administrative tasks that help the President execute daily tasks.

Job Responsibilities:

  1. Calendar management, meeting and travel planning (including proactive calendar and meeting management).
  2. Screening phone calls, inquiries, and requests, and handling them when appropriate.
  3. Meeting and greeting visitors at all levels of seniority.
  4. Dealing with incoming email, often corresponding on behalf of the manager.
  5. Taking dictation and minutes of meetings.
  6. Carrying out background research and presenting findings.
  7. Producing documents, briefing papers, reports, and presentations.
  8. Organizing and attending meetings and ensuring the manager is well prepared for meetings.
  9. Liaising with clients, suppliers, and other staff.
  10. Carrying out specific projects and research.
  11. Claims Management – Initiating and following formal requests.

Job Requirements:

  1. Bachelor’s Degree
  2. 3-5 Years of experience as a secretary or in Executive Assistance

Skills:

  1. Excellent written and verbal communication skills
  2. Ability to pay attention to detail
  3. Ability to multitask
  4. Basic understanding of frequently used computer software and programs, such as Microsoft Office
  5. Interpersonal skills

Preference:

  1. Excellent written and spoken English and Arabic language skills
  2. Preferably Saudi National
  3. Good in Excel & PowerPoint presentations
