Job description

To provide proficient secretarial support to the Director of the Business Development Department and the BDD Managers, ensuring efficient organization of daily agendas, coordinated workflow, and prompt handling of allocated tasks.

The role involves performing a wide range of administrative activities to facilitate departmental operations, including drafting, updating, and maintaining records, reports, presentations, minutes, and memos as requested by the Department Head and Managers.

The secretary will coordinate between HQ and Regional Hubs staff to ensure timely and efficient policy administration tasks.

The ideal candidate should be highly organized, detail-oriented, capable of managing multiple priorities in a fast-paced environment, and exhibit discretion and confidentiality. Proactive problem-solving and decision-making skills are essential.

Key Responsibilities
  1. Administrative Support: Manage inquiries, respond or redirect calls and emails, monitor matters requiring Director or Manager review, prepare routine correspondence, and perform clerical tasks.
  2. Meeting Management: Distribute notices and agendas, coordinate appointments and meetings, take comprehensive notes, prepare and distribute minutes, and ensure follow-up on action items.
  3. Secretarial Services: Provide typing, filing, organization, travel arrangements, and logistical support; maintain filing systems; handle confidential information.
  4. Briefings and Follow-Up: Brief managers on urgent matters, track implementation of decisions, and maintain records of meetings and actions.
  5. Reporting: Prepare updates and progress reports on departmental activities.
Job Requirements
  • Field of Study: Business Administration or relevant discipline
  • Academic Qualifications: High School Diploma; Bachelor's Degree preferred
  • Experience: Relevant secretarial or administrative experience
