Job description

Job Purpose
  • To act as a Coordinator in the VP/DG/Director's Office for coordinating activities and streamlining workflow.
  • To serve as the Secretariat for the Complex/Department, coordinating meetings, recording minutes, and handling specialized Committees' meetings.
  • Assist the VP/DG/Director in planning, implementing, and monitoring the annual work plan of the Complex/Department.
  • Communicate and liaise with colleagues regarding pending issues and take corrective actions as per policies.
  • Draft correspondence and reports for management review.
Key Accountabilities
Operational Planning
  • Provide assistance to the VP/DG/Director in annual planning and coordination of activities.
  • Coordinate meetings, prepare agendas, and record minutes.
  • Draft responses to issues and proposals for consideration.
  • Assist in drafting proposals for higher approval.
Coordination & Follow-Up
  • Organize meetings/events and manage logistics in collaboration with relevant units.
  • Review and process payment/disbursement requests.
  • Follow up on reports, queries, and resolve issues with concerned units.
Reporting & Communication
  • Cover proceedings of departmental and committee meetings.
  • Respond to inquiries, coordinate resolutions, and advise on policies.
  • Assist in preparing periodic reports.
Administrative Support
  • Maintain an up-to-date calendar for the VP/DG/Director.
  • Arrange travel and logistics for missions and events.
  • Handle routine correspondence and internal memos independently.
Academic and Professional Qualifications
  • Bachelor's degree in Business Administration or related field.
  • At least 2 years of relevant experience, preferably in a multi-lateral development sector.
  • Experience working with senior executives.
Skills & Knowledge
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Knowledge of SAP ERP as a user.
  • Strong drafting and report writing skills.
  • Excellent organizational and time management skills.
  • Ability to multitask, demonstrate diplomacy, and maintain confidentiality.
  • Ability to work under pressure and willingness to work long hours.
