Job description

Role

The Operations / Administrative Coordinator will be part of the Middle East Operations team and will be responsible for providing day-to-day administrative support to the Riyadh team and RHQ entity. Additionally, the candidate will support the Finance team with vendor registration processes across the region. The role requires close collaboration with the Riyadh and Operations teams.

Key Responsibilities
  1. Vendor Registration Support:
    • Manage Middle East vendor registrations, ensuring compliance with policies.
    • Maintain and update the vendor database and spreadsheets, including office license details and vendor logins.
    • Assist in preparing RFP materials and managing related processes and timelines.
  2. Riyadh Event Coordination:
    • Support planning and execution of client and internal events, including venue booking, liaising with suppliers, and coordinating logistics.
  3. RHQ Company Secretary Support:
    • Provide administrative support to the RHQ Board and Company Secretary, including meeting coordination, minute-taking, and other secretarial duties.
  4. Administrative Support:
    • Support the Riyadh MD and team as the primary office contact.
    • Establish and maintain organized electronic and physical filing systems.
    • Manage travel logistics within Riyadh and support Dubai and Doha offices when needed.
    • Manage corporate card and expense submissions through Concur.
    • Collaborate with regional EAs to optimize processes.
    • Support employee onboarding and offboarding logistics.
Skills and Experience
  • At least 2-3 years of experience in operations or administration.
  • Proficient in Arabic (written, verbal, reading).
  • Experience in a fast-paced, multicultural environment.
  • Proficient in MS Office Suite.
  • Strong attention to detail, organizational and multitasking skills.
  • Excellent interpersonal and communication skills.
  • Proactive, flexible, and solution-oriented mindset.
  • Ability to work independently and collaboratively.
