Job Description:

The Facilities Manager will be responsible for overseeing the overall operations and functionality of the organization's facilities, ensuring they meet the needs of all stakeholders while adhering to best practices in safety, efficiency, and sustainability. This role requires a proactive leader who can develop and implement comprehensive facility management strategies, manage vendor relationships, and ensure compliance with regulatory standards. The Facilities Manager will lead a team of facility staff, coordinating the maintenance, repair, and optimization of physical spaces to enhance workplace productivity. The ideal candidate will demonstrate exceptional organizational skills, attention to detail, and the ability to navigate complex situations while fostering a positive work environment.

Job Requirements:

  • A bachelor's degree in Facility Management, Engineering, Business Administration, or a related field.
  • At least 5 years of experience in facilities management, with a proven track record of successfully managing multi-functional teams and large-scale projects.
  • Strong knowledge of building systems, maintenance processes, and regulatory compliance, including OSHA and ADA.
  • Demonstrated ability to develop and manage budgets effectively while optimizing resource allocation for maximum operational efficiency.
  • Exceptional project management skills with experience in leading renovation and construction projects from initiation through completion.
  • Proven experience in vendor management, including contract negotiation, performance evaluation, and relationship management.
  • Highly developed problem-solving abilities and decision-making skills, with a demonstrated history of implementing innovative solutions.
  • Strong communication and interpersonal skills, with the ability to effectively collaborate with all levels of an organization and external stakeholders.
  • Proficient in facilities management software and tools, including Computerized Maintenance Management Systems (CMMS).
  • Knowledge of sustainability practices and strategies for LEED certification and energy efficiency.

Job Responsibilities:

  • Develop and implement a comprehensive facilities management strategy that aligns with organizational objectives and enhances workspace functionality.
  • Oversee day-to-day facilities operations, ensuring all building systems (HVAC, electrical, plumbing, etc.) are functioning optimally to support employee productivity.
  • Lead and mentor a diverse team of facilities staff, establishing clear performance expectations and promoting a culture of safety and excellence.
  • Manage the procurement process for external vendors, including drafting RFPs, conducting interviews, negotiating contracts, and monitoring service delivery.
  • Create and manage the facilities budget, tracking expenses, and generating monthly reports to ensure adherence to financial objectives.
  • Champion continuous improvement initiatives within facilities operations, leveraging KPIs and best practices to evaluate and optimize performance.
  • Ensure compliance with health and safety regulations through regular audits and inspections, developing corrective actions as necessary to maintain a safe working environment.
  • Facilitate space planning and employee moves, collaborating with internal departments to enhance office layout and resource allocation.
  • Maintain up-to-date knowledge of industry trends, technologies, and regulations to inform strategic decisions and support innovation in facility operations.
  • Liaise with senior management to communicate facilities-related issues and propose strategic solutions for long-term improvements.
