Reservation Agent Job Description
The Reservation Agent is responsible for providing excellent customer service by handling reservation requests, answering inquiries about hotel services, and assisting guests with their booking needs. The role requires thorough knowledge of hotel facilities, reservation systems, and departmental operations.
- Have a comprehensive understanding of all hotel services and facilities.
- Respond to inquiries regarding room rates, outlets, and room locations.
- Be familiar with all aspects of the reservation system.
- Handle reservation requests with effective listening and communication skills to gather necessary information.
- Post advance deposits and maintain accurate deposit records.
- Process rooming lists and group bookings, noting special requests and billing procedures.
- Maintain current and organized reservation correspondence files.
- Understand the functions of Front Desk, Sales, and Accounts departments and their relation to Reservations.
- Adhere to hotel policies and procedures.
- Stay updated on rate changes and group inquiries.
- Complete daily shift tasks and assist colleagues as needed.
- Monitor inventory and available room types throughout the day.
- Understand departmental goals related to average rate and occupancy.
- Accurately document special requests and determine appropriate room types to maximize revenue.
- Explain guarantee and cancellation policies to guests.
- Describe room features and promote amenities to guests.
- Utilize sales techniques to assist guests, including personalizing calls and suggesting alternatives or sister properties.
- Answer questions about property facilities, services, and promotions.
- Provide confirmation and cancellation numbers clearly, offering email or fax options.
- Identify guest reservation needs through open-ended questions.
- Apply upselling techniques to increase property revenue.
- Recognize repeat guests using appropriate codes.
- Perform additional duties as assigned by management, including support for large events or hotel functions.
- Assist in tasks for new openings and special projects as required.
Qualifications
Minimum one year of experience in a similar role within a 5-star hotel and a high school diploma.
