The Office Manager will be responsible to organize and coordinate administration duties and office
procedures. The role would require coordinating activities between our KSA Branch and our UAE
Head office, while maintaining a pleasant work environment, ensuring high levels of organizational
effectiveness. The Office manager should be able to ensure the smooth running of the office and help
to improve company procedures and day-to-day operation, while constantly communicating with
Legal, Finance, HR & IT.
General support in administration
Create & manage office Filing system (particularly Legal documentations)
Maintain office / staff dairies to include jobs, meetings & KSA important events
Documentation translation (Arabic/ English)
Office Supply & stationery
Overview office cleaning staff
HR
Implement (in coordination with head office) new employees onboarding process
Be the 1st point of contact for employee inquires & grievances (particularly for workers & Arabic speakers) and responsible to liaise with HR
Time & attendance: oversee the employee attendance records and coordinate with HR Executive in Dubai for timely entry of hours worked, overtime and any deviations from the regular schedule
Holidays planning & records
HR daily Forms, tracking, filing
Finance
In charge of Expense claims for KSA Staff
Filing finance related paperwork
Follow up with the ops and procurement Team for documents when needed
IT
Liaise with the IT supplier
Make sure maintenance is done when necessary for Printers and all IT equipment
Desired Candidate Profile
At least 3 years’ experience in a similar role
A Minimum Experience in HR is required as well as basic knowledge of KSA labour law
Candidate must be proficient in Arabic, English and Excel
Extremely thorough and very well organized
