We are seeking a proactive and organized Personal Assistant to support the Managing Director in the daily operations of our building material supply business. The ideal candidate will be responsible for managing schedules, handling correspondence, and providing administrative support to ensure smooth business operations. The role also involves liaising with suppliers, managing orders, and helping with customer communications related to the supply of building materials.

Key Responsibilities
- Manage the Managing Director's calendar, appointments, and meetings.
- Handle incoming calls, emails, and other correspondence on behalf of the Managing Director.
- Prepare reports, presentations, and other business-related documents.
- Organize travel arrangements, including transportation and accommodations.
- Assist in managing and tracking orders from suppliers and ensuring timely deliveries.
- Coordinate with warehouse and logistics teams to monitor stock levels and replenishment schedules.
- Liaise with clients, suppliers, and contractors to resolve any order-related issues.
- Conduct market research and assist in supplier negotiations.
- Maintain an organized filing system for both physical and digital documents.
- Track and follow up on tasks and projects assigned to team members by the Managing Director.
- Handle ad hoc assignments such as event planning, personal errands, and team support.
Skills and Qualifications
- Proven experience as a Personal Assistant or Executive Assistant (experience in the building material supply industry is a plus).
- Excellent organizational and time management skills.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other administrative tools.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Knowledge of building materials, construction terms, or supply chain management is an advantage.
- Attention to detail, problem-solving skills, and discretion when handling confidential information.
Education
- A bachelor's degree in business administration, management, or a related field is preferred.
