Role Overview - Administration Manager

We seek a bilingual (English & Arabic), reliable, highly organized, and professional Administration Manager to manage our local office in KSA. This wide-ranging role involves providing administrative support to managers and engineers, maintaining organized files, organizing events, and handling correspondence. We encourage KSA/Saudi Nationals to apply.

Responsibilities - Administration Manager
Document Control
  • Coordinate with the project team to collect, review, and distribute documentation, ensuring compliance with standards and requirements.
  • Maintain and update documents regularly within the document management system (DMS), both electronically and physically.
  • Track document deadlines and ensure timely reviews and approvals.
  • Prepare project-specific document registers and transmittals.
  • Support office operations and administrative tasks.
  • Maintain records of expenses, invoices, and administrative costs, assisting in budgeting.
  • Coordinate travel and accommodation for teams and management.
  • Ensure organized office environment, inventory management, and procurement activities.
Support to Project Teams
  • Track project milestones and ensure timely submission of documentation.
  • Prepare documentation for audits and inspections.
  • Coordinate with government authorities for approvals, permits, and certifications.
  • Assist in preparing agendas, minutes, and action items for meetings.
  • Ensure documents and contracts are current and compliant.
  • Support HR with onboarding, employee records, and staff scheduling.
  • Prepare reports, project updates, and internal documentation.
  • Schedule meetings, site visits, and conferences.
  • Manage communication with clients, subcontractors, and stakeholders.
Office Management
  • Ensure compliance with regulatory documentation requirements.
  • Manage document receipt, distribution, and filing.
  • Maintain project records with proper version control.
  • Develop procedures for document management and archiving.
Requirements - Administration Manager
