Minerva Bunkering, one of the world's largest physical bunker suppliers, sourcing over 43 million metric tons of fuel annually, is looking for new professionals to join its growing team. The company is a leading independent bunker supplier covering 150 ports worldwide. The company states that it is at the forefront of the industry's digitalization and energy transition evolution and serves its more than 750 customers with efficient, transparent, and environmentally responsible marine fuel solutions.

Position Overview

We are seeking a highly motivated and organized Administrative Assistant / Government Relations Specialist to join our team. This dual-role position requires someone with exceptional administrative skills, strong communication abilities in both Arabic and English, and an understanding of regulations and government processes related to the bunkering and maritime industry. The individual will provide administrative support to the organization while supporting the liaison between the company and various government agencies to ensure compliance with applicable laws and regulations.

Key Responsibilities:

Office Administration

  • Perform general office duties, including managing schedules, coordinating meetings, and maintaining accurate records.
  • Maintain and organize company documents, including contracts, permits, reports, and correspondence.
  • Assist in preparing reports, presentations, and internal communications.
  • Manage travel arrangements and expense reporting for management and staff.
  • Monitor and order office supplies, ensuring that operations run smoothly.
  • Support department heads and management with day-to-day administrative tasks.

Government Related Activities Administration

  • Maintain organized records and Support the process of obtaining, securing, and renewing licenses, permits, authorizations, and certificates required for company operations.
  • Prepare necessary documentation for submissions to government agencies and ensure timely follow-ups on applications, renewals, and inquiries.
  • Track and update deadlines for regulatory filings and permit renewals to ensure compliance.
  • Assist in drafting and submitting correspondence, forms, and reports to government authorities.
  • Stay current on changes in government legislation or regulations that affect the bunkering and maritime industry.
  • Serve as a support resource during audits or inspections by public authorities, helping to organize documents and provide necessary information.
  • Assist in compiling reports required by internal departments or external regulatory authorities.
  • Conduct research on new government policies, regulations, and industry standards impacting bunkering operations, summarizing findings for management.

Qualifications

  • Bachelor's degree or 3 year's equivalent experience, fresh grads are welcome.
  • Strong interpersonal, customer service and communication skills
