Administrative Assistant

In this role, you will provide administrative support to the CAO, Sales, Marketing, Legal, HR, and Facilities teams, working under the direction of the Legal Operations Manager. You will handle highly confidential and critical information and prepare materials for discussions and meetings involving internal and external stakeholders. You will also suggest improvements to administrative processes and manage complex high-level contacts both inside and outside the company. This position requires exceptional attention to detail, flexibility, and adaptability in a fast-changing environment.

Responsibilities Might Include
  • Coordinate meetings, establish agendas, and handle catering.
  • Manage domestic and international travel arrangements, including passport and visa requirements for the Country Manager and other frequent travelers.
  • Prepare presentations.
  • Manage expense reports, primarily for the Country Manager and frequent travelers.
  • Compose business correspondence and address communications promptly, highlighting critical issues to management.
  • Manage team SharePoint sites.
  • Provide support for E-Billing, vendors, and budgets.
  • Offer administrative support to the Executive Vice President, Chief Administrative Officer, the Country Manager, and the local team as directed.
  • Assist with special projects such as coordinating off-sites, conducting research and analysis, document retention initiatives, and other ad hoc tasks.
Requirements
  • 3-5 years of experience in an administrative role supporting senior managers or executives.
  • Extensive experience managing complex schedules, travel logistics, and company-wide events.
  • Proactive problem-solving skills and good judgment.
  • Tact, discretion, critical thinking, and excellent communication skills.
  • Professionalism, interpersonal skills, energy, and flexibility.
  • Ability to handle confidential information appropriately.
  • Initiative, resourcefulness, and effective prioritization.
