Reservation Agent Job Description
We are seeking a Reservation Agent to manage hotel reservations efficiently and provide excellent customer service. The ideal candidate will:
- Have thorough knowledge of hotel services and facilities.
- Answer inquiries about room rates, outlets, and room locations.
- Be familiar with all aspects of the reservation systems.
- Handle reservation requests with good listening and communication skills to gather necessary information.
- Post advance deposits and maintain accurate deposit records.
- Process rooming lists, group blocks, and note special requests and billing procedures.
- File and process reservation correspondence, ensuring all files are current and organized.
- Understand the roles of the Front Desk, Sales, and Accounts departments and their relation to Reservations.
- Adhere to hotel policies and procedures.
- Stay updated on rate changes and group inquiries.
- Complete daily shift task lists and assist colleagues as needed.
- Monitor inventory and check room availability throughout the day.
- Understand departmental goals regarding average rate and occupancy.
- Accurately accommodate and document special requests.
- Select appropriate room types to meet guest needs and maximize revenue.
- Explain guarantee and cancellation policies clearly to guests.
- Describe room amenities and promote hotel features and promotions.
- Use sales techniques to assist guests, including personalization, suggesting alternatives, and directing to sister properties when necessary.
- Answer questions about hotel facilities, services, and special packages.
- Assign confirmation or cancellation numbers and communicate these to guests, offering email or fax options.
- Identify guest reservation needs through open-ended questions.
- Apply upselling techniques to maximize revenue.
- Recognize repeat guests with proper coding.
- Perform other duties as assigned by management, including support for large events or hotel functions.
- Assist in tasks related to new hotel openings.
Desired Candidate Profile
Qualifications: Minimum one year of experience in a similar role at a 5-star hotel and a high school diploma.
