JOB SUMMARY
As a Travel Manager , your primary responsibility will be to assist employees in planning and booking their travel arrangements. The incumbent will be responsible for providing exceptional customer service, ensuring employees travel needs are met, and making their travel experience smooth and enjoyable. The incumbent will recommend travel destinations, provide information on flights, accommodations, and transportation options, and arranging and confirming bookings.
PRIMARY DUTIES, RESPONSIBILITIES & KPIs
- Assist employees in planning and booking their travel arrangements, including flights, accommodations, transportation, and activities.
- Research and recommend travel destinations based on employees preferences, budget, and travel objectives.
- Provide employees with accurate and up-to-date information on flights, fares, schedules, and travel restrictions.
- Handle employee inquiries and provide exceptional customer service through various communication channels, such as phone, email, and online chat.
- Process bookings and reservations accurately and efficiently, ensuring all necessary documents and confirmations are provided to employees.
- Collaborate with travel suppliers, including airlines, hotels, car rental companies, and tour operators, to negotiate rates and secure the best deals for employees.
- Resolve any travel-related issues or complaints promptly and effectively to ensure employee satisfaction.
- Maintain accurate and organized records of employee bookings, payments, and travel preferences.
- Provide assistance to employees during their travel, such as rebooking flights, making changes to itineraries, or handling emergencies.
EXPERIENCE REQUIREMENTS
- At least 6 years experience in Travel management.
- Previous experience in a similar role, preferably in the travel industry.
- Strong knowledge of travel destinations, airlines, routes, and travel products.
- Excellent communication and interpersonal skills to interact with employees and travel suppliers.
- Proficient in using travel booking systems, online travel portals, and relevant software.
- Detail-oriented and able to multitask in a fast-paced environment.
- Strong problem-solving skills and ability to handle difficult situations with diplomacy.
- Ability to work independently and as part of a team.
- Excellent organizational and time management skills.
- Flexibility to work outside regular office hours, including evenings and weekends, as required.
- Passion for travel and a willingness to continuously learn and stay updated on travel industry trends and developments.
EDUCATION REQUIREMENTS
- A bachelor's degree or certification in travel and tourism, hospitality, or a related field is preferred.
COMPETENCY REQUIREMENTS
- Knowledge: Strong knowledge of travel destinations, airlines, routes, hotels, car rentals, and other travel-related products is essential. Familiarity with travel booking systems, online travel portals, and relevant software is also advantageous.
- Communication Skills: Excellent verbal and written communication skills are necessary to effectively interact with clients and travel suppliers. Active listening and interpersonal skills are also important to understand clients needs and provide appropriate recommendations.
- Customer Service: Exceptional customer service skills are essential to provide a positive and personalized experience to clients. Patience, empathy, and the ability to handle customer inquiries, complaints, and emergencies professionally and efficiently are crucial.
- Organizational Skills: Strong organizational skills are required to manage multiple bookings, itineraries, and travel details simultaneously. Attention to detail is necessary to ensure accuracy in bookings and documentation.
- Problem-Solving: Effective problem-solving skills are important to handle travel-related issues, such as flight cancellations, delays, or changes in itineraries. The ability to think quickly, adapt to unexpected situations, and find suitable solutions is vital.
- Computer Literacy: Proficiency in using travel booking systems, online travel portals, and relevant software is necessary. Basic knowledge of Microsoft Office applications, such as Word, Excel, and Outlook, is also beneficial.
- Flexibility: Travel Specialists may need to work outside regular office hours, including evenings and weekends, to accommodate client needs or handle urgent travel matters.
- Fluency in both English and Arabic (spoken and written) is required for effective communication with international suppliers and stakeholders.
