Position Overview

Beyond Limits is seeking a detail-oriented Office Manager to handle office administration tasks. The ideal candidate will oversee general administrative functions, organize office events or activities, and support multiple priorities such as assisting C-Level Executives, managing calendars, coordinating meetings, and planning travel. The role requires a positive attitude, flexibility, discretion, and strong command skills.

Job Duties / Responsibilities

  1. Manage and maintain executive schedules, including setting appointments, handling incoming calls, emails, and correspondence.
  2. Coordinate international travel arrangements.
  3. Monitor office supplies inventory, initiate replenishment orders, and manage monthly office expenses.
  4. Serve as the point person for office facilities, management systems, and administrative support to the EMEA team.
  5. Coordinate complex schedules and logistics.
  6. Maintain a professional and organized office environment.
  7. Assist the Global Marketing Director with marketing communications and event strategies that support global initiatives.
  8. Manage marketing activities, including local events, media requests, and thought-leadership opportunities, ensuring deadlines are met.
  9. Support the EMEA Finance team with administrative tasks.

Minimum Qualifications

  1. Bachelor's Degree in a related field.
  2. At least 5 years of office management experience.
  3. Strong knowledge of Saudi Labor Law.
  4. Experience with governmental portals.
  5. Knowledge of visas, work permits, and residence procedures.
  6. Excellent organization and communication skills with attention to detail.
  7. Ability to respond to and resolve issues independently.
  8. Proactive problem-solving skills, sound judgment, and handling of sensitive information.
  9. Effective team collaboration skills.
  10. Experience working in highly technical organizations is a plus.

Preferred Qualifications

  1. Event planning and execution skills.
  2. Advanced proficiency in MS Office.
