As the Operations Executive, you will support the Operations Manager(s) on the operational delivery of events.

You are a highly organised, self-motivated person who really enjoys finding process efficiencies! You're able to work under your own initiative to meet deadlines and targets, while also driving operational process synergies across a variety of EMEA event verticals.

What you will do

  • Support the delivery of various tasks allocated by the Operations Manager, in support of running exhibitions across EMEA.
  • Create and maintain show-specific project plans for review & sign-off by Operations Managers.
  • Manage procurement activities such as creating and issuing PO's, updating budget & invoice trackers.
  • Manage and maintain floor plans, and handle exhibitor queries related to them.
  • Create and deliver schedules for catering, electrics, furniture, signage, rigging, and temporary staff.
  • Design and produce simple system-built feature areas as required.
  • Coordinate operational sponsorship deliverables with the sales team.
  • Manage temporary staff, produce show briefs, and conduct onsite inductions.
  • Coordinate with internal teams, venues, contractors, suppliers, and exhibitors.
  • Assist in compiling post-event reports and data analysis.
  • Oversee pre-show packing, research, and ordering of equipment and services.
  • Produce onsite documentation including staff briefings, exhibitor lists, and safety information.
  • Assist teams with operational exhibitor queries and provide general support.
  • Attend meetings, take minutes, and follow up on actions.
  • Arrange travel and accommodation bookings within budget.
  • Ensure compliance with H&S, Security & Sustainability guidelines.
  • Assist in implementing Service Level Agreements.
  • Perform additional duties as assigned by senior team members.

Qualifications

What you will bring

  • At least 1 year of professional or work experience.
  • Knowledge of industry, venues, and contractors.
  • Proactive approach and initiative-taking ability.
  • Knowledge of exhibition Health & Safety guidelines.
  • Proficiency in business and project management software.
  • Strong organisational and time management skills.
  • Ability to work independently and within budget.
  • Excellent communication skills in English; additional languages are a plus.
  • Good understanding of the exhibition industry and venue relationships.
  • Familiarity with procurement practices.
  • Willingness and ability to travel across the EMEA region.
