Job Description

As the Operations Executive, you will support the Operations Manager(s) in the operational delivery of events.

You are highly organized, self-motivated, and enjoy finding process efficiencies. You can work independently to meet deadlines and targets, while also driving operational process synergies across various EMEA event verticals.

What you will do

  • Support the delivery of tasks allocated by the Operations Manager to run exhibitions across EMEA.
  • Create and maintain show-specific project plans for review and approval by Operations Managers.
  • Create and issue Purchase Orders (POs), update budgets, and invoice trackers.
  • Manage and maintain floor plans and handle exhibitor queries related to them.
  • Develop and deliver schedules for catering, electrics, furniture, signage, rigging, and temporary staff.
  • Design and produce system-built feature areas as required.
  • Coordinate operational sponsorship deliverables with the sales team.
  • Manage temporary staff, produce briefs, and conduct onsite inductions.
  • Liaise daily with internal teams, venues, contractors, suppliers, and exhibitors.
  • Contribute to post-event reports and data analysis.
  • Handle pre-show packing, research, and procurement of equipment and services.
  • Prepare onsite documentation, including staff briefings, exhibitor lists, and safety information.
  • Assist teams and clients with operational queries and support general team activities.
  • Attend meetings, take minutes, and follow up on actions.
  • Arrange travel and accommodation bookings within the operational budget.
  • Adhere to company H&S, Security, and Sustainability guidelines.
  • Support the implementation of Service Level Agreements.
  • Perform additional duties as required by senior team members.

Qualifications

What you will bring

  • At least 1 year of professional or work experience.
  • Knowledge of industry venues and current contractors.
  • Proactive approach and ability to anticipate needs.
  • Understanding of exhibition Health & Safety guidelines.
  • Proficiency in business and project management software.
  • Strong organizational and time management skills.
  • Ability to work independently within budget and deadlines.
  • Excellent English communication skills; additional languages are a plus.
  • Good knowledge of the exhibition industry and venue relationships.
  • Familiarity with procurement practices.
  • Willingness to travel and work across different time zones, especially within EMEA.
