- I&C Projects Support Specialist
The opportunity
Play a crucial role in assisting project managers and teams in the successful execution and completion of various projects. This role requires excellent organizational skills, strong communication abilities, and the capacity to manage multiple tasks simultaneously. The Project Support Specialist will be responsible for coordinating project schedules, maintaining documentation, tracking project progress, and ensuring that all project-related activities are carried out efficiently and effectively. They will also track departmental budgets and forecast future needs. Additionally, the role may include planning and coordinating special events and maintaining and updating the departmental website.
How you’ll make an impact
You will assist project managers in planning and executing project activities, maintaining and updating project documentation and records. Your responsibilities include coordinating project schedules, monitoring deadlines, preparing and distributing project status reports and presentations, identifying and communicating potential risks and issues, and supporting project meetings with agendas, minutes, and follow-up actions. You will collaborate with team members and stakeholders to ensure clear communication and alignment, coordinate NCR logging and follow-up in the system, and support project execution and administrative requests such as travel and accommodation arrangements.
You will also support training activities, prepare documentation, and edit reports, presentations, and organization charts. Conducting analysis of planned versus actual project performance under supervision, maintaining physical and digital documents, supporting invoice processing, and preparing materials for project reviews are also part of your duties. Additionally, you will manage training materials and logistics, support other functions as required, and assist in planning, executing, and monitoring project progress. Maintaining project documentation, scheduling meetings, preparing site NCR logs in SAP, and supporting stakeholder communication are also key responsibilities. Monitoring project timelines, milestones, and deadlines, organizing project files, and supporting budget and risk management processes are essential tasks. Your background
A bachelor’s degree in business administration, a diploma in Project Management, or a related field is preferred. A minimum of 2 years of experience in an administrative or project support role is advantageous. Strong organizational and multitasking skills, proficiency in Microsoft Office (Word, Excel, PowerPoint), and familiarity with Microsoft Planning tools are required. Proficiency in spoken and written English is also necessary.
