Position Summary
The Senior Manager, Corporate Secretariat & Office of the CEO is a mission-critical leadership role within ITFC, responsible for managing the operational, strategic, and governance functions of the CEO's Office. This includes serving as the main point for Board governance and shareholder relations, ensuring efficiency, confidentiality, and alignment with organizational goals.
The role combines executive coordination, stakeholder engagement, and fiduciary duties related to ITFC's governance, including the Board of Directors, committees, and General Assembly. It requires a professional skilled in governance protocols, secretariat procedures, and stakeholder management within a multilateral development bank context.
Key Responsibilities
1. Corporate Secretariat & Governance Oversight
- Serve as Secretary to the Board of Directors, Committees, and General Assembly, ensuring compliance with legal and policy frameworks.
- Plan and facilitate Board and Committee meetings, including agenda setting, documentation, resolutions, and minutes.
- Coordinate with the Legal Department for review and clearance of governance documents.
- Maintain secure records of institutional decisions and communications per international standards.
- Collaborate with the IsDB Group Secretariat on joint governance matters and meetings.
- Monitor governance regulations and recommend updates to policies and charters.
2. CEO Office Management & Strategic Support- Manage the CEO's operational environment, including scheduling, correspondence, and mission planning.
- Develop high-level communications for the CEO, including briefs, letters, and speeches.
- Supervise administrative staff to ensure smooth operations and readiness for meetings and missions.
- Implement SOPs, tracking systems, and dashboards to support decision-making.
- Act as the primary liaison between the CEO and stakeholders, managing requests and responses.
- Oversee protocol, travel, and engagement arrangements.
3. Institutional Alignment & Strategic Coordination- Coordinate between the CEO and departments to ensure directives are understood and implemented.
- Monitor decision implementation and establish accountability and reporting mechanisms.
- Maintain a strategic log of key issues and risks requiring attention.
- Facilitate strategic meetings and initiatives supporting the CEO's leadership.
Qualifications & CompetenciesEducation & Certification- Master's degree in Law, Public Administration, Business, or related fields.
- Governance or secretariat certifications (e.g., ICSA, GNDI) are desirable.
Experience- At least 6 years in governance, executive management, or secretariat roles, preferably in multilateral organizations.
- Experience with Board processes and strategic workflows.
Technical Skills- Deep understanding of governance frameworks and compliance standards.
- Strong communication and documentation skills for high-level interactions.
- Knowledge of development finance, policies, and stakeholder relations.
- Familiarity with digital governance tools and archiving systems.
