Job description

The Document Controller ensures that organization documents, contracts, correspondence letters, agreements, commercial documents, samples, and method statements are properly received and accurately recorded. These are then distributed internally or externally according to the approved distribution matrix to relevant departments, disciplines, stakeholders, etc. The role involves adopting the company's quality policies and procedures, with awareness of basic ISO standards to maintain consistency across projects.

Responsibilities:
  • Maintain an organized and efficient document control system, including electronic and physical filing systems.
  • Receive, log, and distribute incoming documents to relevant departments or personnel promptly.
  • Ensure proper labeling, classification, and storage of all documents according to established procedures and standards.
  • Monitor document revisions and updates, ensuring the latest versions are accessible to authorized users.
  • Assist in creating, formatting, and editing documents, ensuring compliance with templates and standards.
  • Facilitate document review and approval processes, tracking progress and meeting deadlines.
  • Perform regular audits and quality checks on document management processes.
  • Provide training and support to staff on document control procedures and systems.
  • Generate reports and metrics related to document control activities.
  • Maintain confidentiality and security of sensitive documents, adhering to privacy regulations and company policies.
  • Knowledge of ISO documentation standards, spreadsheets, databases, word processing, and relevant software.
  • Understanding of records management principles, including record keeping and filing practices.
  • Proficiency in English, both written and verbal.
  • ERP knowledge, preferably SAP, is required for success in this role.
Desired Candidate Profile:
Experience:

Minimum 3 years of work experience, with at least 2 years relevant experience. GCC experience is a plus.

Skills and Attributes:

  • Knowledge in database management, recordkeeping, logs, document analysis, data archiving, and records management (Level 1 proficiency).
Education:
