WSP Middle East is seeking a Document Controller. Responsibilities include managing, storing, and distributing project documents, ensuring all processes align with company policies and project needs. The role focuses on maintaining accurate, up-to-date, and accessible documentation to ensure effective communication and compliance with industry and company standards.

Your new role, what's involved
  1. Organize, maintain, and track documents, ensuring accuracy, integrity, and accessibility both online and offline.
  2. Manage document versions and ensure only the latest versions are available to relevant stakeholders.
  3. Review documents for completeness, accuracy, and compliance with standards and regulations.
  4. Distribute documents securely to authorized personnel, maintaining confidentiality.
  5. Retrieve documents promptly as needed by authorized personnel.
  6. Keep detailed records of document transactions, including distributions, revisions, and approvals.
  7. Contribute to progress reports and MIS report generation.
  8. Follow up with designated personnel for timely document processing.
  9. Ensure documents adhere to quality standards and procedures.
  10. Provide training and support on document management systems and procedures.
  11. Maintain an organized system for document storage and retrieval.
  12. Support project audits and maintain records of Minutes of Meetings, including stakeholder signatures.
  13. Familiarity with document management software such as Wrench, Think Project, SharePoint, Documentum, and Aconex.
  14. Strong communication skills to interact effectively with team members and stakeholders.
  15. Ability to manage multiple tasks and prioritize to meet deadlines.
  16. Resolve document management issues efficiently.
  17. Understand and apply relevant regulatory standards like ISO 9001.
  18. Ensure accuracy, consistency, and reliability of company documents.
  19. Proficiently manage data within document management systems.
  20. Adapt to changing processes and requirements.
  21. Excellent typing and report writing skills.
  22. Detail-oriented in document organization.
We'd love to hear from you if you have:
  • Bachelor's degree in business administration, document management, or record management.
  • 5-10 years of experience in document or records management.
  • Minimum 5 years in CCGT, OCGT, oil and gas, or industrial projects.
  • Knowledge of systems like SharePoint, OnlyOffice, DocuWare Cloud, Rubex.
  • Proficiency with document capturing systems such as CAPSYS Capture and Xerox DocuShare.
  • Excellent command of Microsoft Office programs.
  • Familiarity with regulations related to document handling.
  • Proactive management of database changes using management software.
