Qualifications

Job description

Location : KSA

Employment Type : Full- Time

The Crew Operations Coordinator provides logistical and administrative support to ensure the effective deployment of crew teams for events and projects. This role assists in crew scheduling, documentation, transportation coordination, inventory tracking, and communication between stakeholders. The ideal candidate is organized, proactive, and capable of working in a fast-paced, dynamic environment while ensuring operational accuracy and service quality.

Key Responsibilities :

Crew Scheduling & Coordination

  • Manage crew booking and scheduling for various projects, ensuring optimal allocation based on required skillsets.
  • Maintain and update crew accreditation and ensure proper access to internal and external operational portals.
  • Review and approve crew timesheets, ensuring alignment with schedules and payroll accuracy.
  • Sign in crew members at designated meeting points or work sites to ensure readiness and accountability.
  • Act as a liaison between the Head of Crew Operations, Crew Operations Managers, and crew members to ensure operational clarity and alignment.
  • Provide support to the UAE office for accreditations, documentation, and compliance processes.

Crew Administration

  • Manage crew administration, including organizing and conducting interviews for new crew members.
  • Coordinate with HR for the issuance of crew tools, equipment, and uniforms.
  • Process crew documentation, timesheets, and perform other related administrative tasks.
  • Liaise with external suppliers and service providers to fulfil crew-related requirements.
  • Operational Oversight

  • Exercise independent judgment in planning, task assignment, and problem resolution.
  • Supervise assistants, drivers, and crew members as required; act as shift lead when assigned.
  • Support cross-functional coordination with internal departments, clients, and vendors.
  • Monitor crew performance on-site, ensuring service quality and immediate issue resolution.
  • Prepare shift summaries, incident reports, and operational feedback for management.
  • Logistics & Inventory

  • Coordinate event logistics, including scheduling and supervising transport and equipment operators (e.g., bus drivers, forklift, and scissor lift operators), to ensure efficient event setup and execution.
  • Collaborate with the Head of Crew Operations and Crew Operations Manager to manage uniform and stock supplies, ensuring all resources are available and event ready.
  • Oversee inventory control by maintaining accurate records and serving as the central point of contact for access to stored items, promoting efficient stock management and accountability.
  • Client & Service Support

  • Ensure the delivery of a consistently high standard of service to clients, maintaining professionalism and responsiveness at all times.
  • Respond promptly to inquiries and concerns from the Account Management team, escalating issues as needed to ensure timely and effective resolution.
  • Adaptability & Problem-Solving

  • Proactively identify and resolve operational or client-related challenges.
  • Adapt quickly to evolving project requirements and time-sensitive situations.
  • Remain calm and focused under pressure while maintaining service excellence.
