Role Purpose

To support the real estate team with administrative tasks and basic procurement activities such as processing requests, coordinating with vendors, and maintaining accurate records.

Job Accountabilities & Activities

- Prepare and organize documents, letters, and simple reports.
- Maintain files and ensure data is accurately updated in the system.
- Create and process purchase requests and ensure approvals are obtained.
- Coordinate with vendors for quotations and delivery updates.
- Maintain procurement-related records and trackers.
- Assist in following up on invoices and payment status with Finance.
- Follow up on pending approvals and document submissions with internal teams.
- Assist in scheduling meetings and basic communication with vendors/tenants under supervision.
- Keep track of property-related and procurement records for easy reference.
- Update spreadsheets and trackers as directed by the team.
- Update procurement and property status trackers (e.g., purchase requests, vendor delivery status, payment follow-up).
- Assist in preparing simple weekly or monthly summaries for the team (e.g., pending PRs, completed orders).
- Ensure all data in spreadsheets and systems is accurate and up to date.
- Communicate with internal teams to follow up on approvals, document submissions, and status updates.
- Handle basic vendor communication for quotations, delivery schedules, and general inquiries under supervision
- Respond to simple tenant inquiries (e.g., forwarding requests to the relevant department).
- Assist in scheduling meetings and circulating necessary documents.

Education & Certifications

Bachelor’s degree in Business, management or any related field.

Required Years of Experience

1–2 years experience in administration or procurement support.
