Job Description

Support the recruitment process, including sourcing, screening, and interviewing candidates inside the Kingdom as well as overseas.

Arrange the required amount of visas to fulfill company’s manpower requirements and ensure the availability of new visas within 30 days of management’s demand to match the planned/budgeted overseas recruitment.

Advise on local and overseas manpower hiring strategies to management, as well as manage Saudization requirements of the company to meet minimum legal compliance.

Manage employee onboarding and orientation processes and independently handle the medical examinations, insurance, and iqama processing for new joiners.

Handle employee relations and address queries or concerns regarding company policies and procedures.

Assist in performance management and employee development initiatives in coordination with the Finance & Admin Manager.

Manage HR administration independently, including employee record-keeping, documentation of visas/leaves/tickets, and maintaining employee files for employment contracts/NDAs.

Coordinate training programs and workshops for employees, in coordination with all functional managers.

Ensure compliance with labor laws regarding hiring, data/record keeping, employment contracts, final dues/settlements, new iqama, timely renewals, exit/reentry visas, and extensions, employee professions, new visas, EOSB, GOSI.

Communicate and implement company HR policies, HR strategies, and initiatives, ensuring thorough compliance across the board.

Conduct exit interviews, analyze employee turnover data, and advise management accordingly.

Ensure all employees are enrolled in the biometric attendance system and oversee the on-site and remote employee attendance.

Ensure timely submission of final attendance & O.T. reports to the finance department by the 26th of every month to calculate and disburse payroll before the last date of the month. While processing timesheets, ensure compliance with company policies on attendance, overtime calculation, sick/emergency/annual leaves, and short hours.

Act as a single point of contact for the requirements of operations, production, and sales departments regarding travel arrangements (tickets, exit/reentry visas, car rentals, hotel bookings) and arrange these in a timely manner. Collaborate with the finance department for timely processing of payments where required.

Ensure renewal of service agreements with sub-contractors and external manpower companies at least 30 days before the expiry date.

Maintain track of the expiry dates of commercial documents and ensure the renewal of all company licenses (CR, SAGIA, chamber of commerce, industrial license, municipality and civil defense, ministry of environment), subscriptions, and registrations at least one month in advance of expiry dates.

Ensure compliance with the requirements of the Ministry of Human Resource and Ministry of Interior, including but not limited to Nitaqat, Saudization, GOSI, WPS, and renewal of iqama.

Ensure maintenance (electronically and in hard copy) of all company agreements/contracts and government records with proper tracking of all documents, including but not limited to CRs, SAGIA license, AoA, industrial license, municipality and civil defense licenses, rent agreements, auto lease agreements, and temporary work and business visas.

Related to business expansion projects, obtain all necessary approvals from concerned ministries, SAGIA, municipality, environment, civil defense, and other government departments within the timeframe notified by management.

Job Requirements

Excellent written and verbal communication skills in English.

Superb computer literacy and exposure to related HR software; proficient in MS Office applications.

Ability to act with integrity, professionalism, and confidentiality.

Ability to work comfortably under pressure, meet tight deadlines, manage competing priorities, and handle a high volume of activity.

The ability to work quickly, flexibly, effectively, and positively in response to requests made at short notice.

Good organizational skills and attention to detail.
