Job Description

The Administrative Specialist is responsible for assisting the department head with day-to-day tasks within the College. This role involves multitasking across various responsibilities at a professional level, including coordinating and supervising support staff, advising students, assisting with scheduling and registration, supervising exams, and implementing policies. Additionally, the specialist will help develop and execute programs to promote positive student behavior, organize college events, graduation ceremonies, and school visits.

Primary Duties & Responsibilities
  1. Develop a thorough understanding of the Bachelor of Business Administration (BBA) degree program and study plans.
  2. Manage daily office activities such as responding to emails and processing forms.
  3. Implement department policies and procedures to ensure compliance, including attendance, make-up exams, and academic integrity policies.
  4. Advise students and monitor their probation status.
  5. Supervise attendance and performance of support staff.
  6. Oversee college assessments for quality assurance, including exam seat allocation in large venues.
  7. Prepare work schedules and adapt to dynamic changes.
  8. Coordinate arrangements for orientations, graduations, open houses, and seminars.
  9. Maintain accurate records of section activities for reporting.
  10. Keep filing and office records organized.
  11. Collect and analyze department statistics each semester.
  12. Monitor student attendance during lectures and events.
  13. Update data, manage spreadsheets, and generate reports as needed.
  14. Support special projects and departmental initiatives.
  15. Ensure effective communication within the department.
  16. Perform all duties professionally, confidentially, and effectively.
  17. Perform other duties as assigned by the manager.
Qualifications and Competencies
Education/Certificates
  • Bachelor's degree in Business Administration, Human Resources, Public Relations, or equivalent from an accredited institution.
Professional Experience
  • At least four (4) years of experience in administrative tasks, student services, or related fields.
