Job description

The client is looking to hire a Administrative Executivefor their team at Al-Hasa, Saudi Arabia.

Client is seeking a proactive and organized Administrative Executive to support daily operations, office management, and inter-department coordination to ensure a smooth and efficient work environment.

The Administrative Executive will be responsible for managing office administrative tasks, coordinating with internal departments, handling company documentation, and supporting procurement, HR, and logistics operations. The ideal candidate will have strong communication skills, experience in an industrial or manufacturing environment, and a good understanding of Saudi business practices.

Key Responsibilities:

  • Office Administration
  • Oversee general office operations, facility maintenance, and supplies management.
  • Handle all clerical tasks such as documentation, filing, correspondence, and record-keeping.
  • Coordinate travel bookings, visa processing, and accommodation arrangements for staff.
  • Procurement & Logistics Coordination
  • Assist with local and international purchase orders, vendor follow-ups, and delivery tracking.
  • Coordinate customs clearance, shipment documentation, and material gate entries.
  • HR & Payroll Support
  • Maintain employee records, attendance tracking, and documentation.
  • Support onboarding of new hires, medical insurance coordination, and GOSI registration.
  • Compliance & Documentation
  • Manage company licenses, commercial registrations, and municipality documents.
  • Coordinate with government portals such as GOSI, MOL, Qiwa, Muqeem, and ZATCA as needed.
  • Communication & Coordination
  • Serve as a point of contact between departments, suppliers, and government authorities.
  • Schedule internal meetings, prepare minutes, and follow up on administrative tasks.

Qualifications & Skills:

  • Bachelor's degree in Business Administration or related field.
  • 0-2 years of experience in administrative or office management roles, preferably in a manufacturing/industrial setup in Saudi Arabia.
  • Familiarity with Saudi labor laws, GOSI, and governmental e-portals is a plus.
  • Proficient in MS Office (Word, Excel, Outlook); ERP knowledge is an advantage.
  • Strong organizational, interpersonal, and time-management skills.
