We are hiring an Administrative Assistant to be based in Riyadh, Saudi Arabia reporting to the CEO of Saudi Arabia. As Administrative Assistant you’ll support the whole team in a variety of tasks such as expenses management, travel bookings, general correspondence and collating documents for meetings. On an ad hoc basis, the team may also ask for your help with client meetings, assisting visitors, attending meetings to minute them and helping to prepare presentations. This is a really varied role which will suit someone who is proactive, organised, keen to help and can keep the team in order.

What are the ongoing responsibilities of an Administrative Assistant?

  • Provide general administrative support to the team; for example, diary management, sort and distribute incoming post, prepare various types of correspondence, photocopying and scanning
  • Manage the expenses process for the team, including logging these through our internal Expenses Management tool and reconciliation of expenses against the company AMEX cards
  • Book hotels, flights and transfers for international travel, including producing itineraries and organising any required Visas
  • Co-ordinate internal and external meetings which will include booking venues, reserving meeting rooms, setting up conference call facilities and organising catering/other resources
  • Print and bind presentations for client meetings and as needed assist in pulling together data for these presentations
  • Produce regular reports, coordinating with colleagues in other locations as needed
  • Update the team’s procedure manuals and business continuity plans

What qualifications, skills and experience would help someone to be successful?

  • Minimum of a Diploma in a relevant field (post-secondary), or equivalent.
  • Experience utilizing MS Office (e.g. Word, PowerPoint, Excel, Access & Project), including mail merges
  • Excellent English
  • Prior administrative experience in a professional environment, ideally within a Financial Services firm
  • Ability to communicate effectively in both written and verbal form
  • Strong numeracy skills with the ability to reconcile and organise data
  • Ability to work independently or with minimal supervision
  • Highly organised combined with the ability to prioritise and work to tight deadlines
  • Solid understanding of various areas of the business, including compliance, risk, performance, and reporting, and how these impact the client service proposition for clients
  • Attend client meetings and contribute as needed
