Job Description

As an Admin Assistant, you will be a key member of the team in our Riyadh office, supporting the sales teams with their daily tasks and ensuring smooth office operations. The ideal candidate will serve as a key contact for Saudi government entities, manage administrative and compliance tasks, and facilitate efficient day-to-day activities in a fast-paced environment.

Key Responsibilities:

  1. Government & HR Support:
  2. Liaise with government bodies such as MHRSD, GOSI, MISA, MOI, and Riyadh Chamber of Commerce.
  3. Manage work permits, Iqamas, visas (including exit/re-entry), and onboarding for expatriates.
  4. Ensure compliance with Saudi labor laws, Saudization quotas (Nitaqat), and related requirements.
  5. Operate government platforms like Qiwa, Absher, Muqeem, Mudad, etc.
  6. Coordinate document attestation through the Riyadh Chamber of Commerce.
  7. Assist with employee residency, labor disputes, and registration issues.
  8. Maintain accurate HR and government records for audits and reporting.
  9. Draft official correspondence in Arabic and English.

Sales Support:

  1. Assist sales with administrative tasks such as preparing quotations, proposals, and updating client records.
  2. Coordinate meetings, calls, and presentations related to sales activities.
  3. Organize logistics for client visits, trade shows, and events.
  4. Track sales documentation and follow up on action items.
  5. Support report and dashboard preparation for sales.

General Administrative Support:

  1. Provide daily support across departments.
  2. Manage office supplies, vendors, and event logistics.
  3. Coordinate meeting room bookings, conference calls, and meeting materials.

Qualifications:

  • Only Saudi nationals are eligible due to Saudization policies.
  • Bachelor’s Degree in Business Administration or related field.
  • Fluent in Arabic and English (spoken and written).
  • Strong organizational, time management, and multitasking skills.
  • Proactive attitude with ownership of tasks.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and in teams.
  • Experience with government portals (Qiwa, Absher, Muqeem, Mudad) is a plus.
  • Previous experience in administrative support, HR, or sales is preferred.
