Job Description:
We are a specialty vaccine company that develops, manufactures, and commercializes prophylactic vaccines for infectious diseases addressing unmet medical needs.
We have leveraged our expertise and capabilities both to commercialize three vaccines, including the world’s first and only chikungunya vaccine, and to rapidly advance a broad range of vaccine candidates into and through the clinic, including candidates against Lyme disease, Shigella and Zika.
Responsibilities
We are currently looking for a motivated Procurement Specialist (m/f/d) to join our team in Vienna until November 2027. In this role you will support the procurement team by executing day-to-day purchasing activities, maintaining accurate records, and ensuring the timely acquisition of goods and services at optimum price. This role requires excellent organizational and project management skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. Specifically, your tasks will include:
- Purchase Order Management: Prepare and process purchase orders in Valneva´s ERP system, verify accuracy, and ensure timely approval and submission to suppliers. Main procurement categories: IT-Soft- & Hardware, Infrastructure Services and -supplies, Building Maintenance, Utilities and Lab Equipment.
- Contracting IT, Maintenance Services: Manage the procurement of IT and maintenance services, including negotiating contracts and ensuring service level agreements are met.
- Vendor Communication: Liaise with suppliers to confirm orders, pricing, delivery schedules, and resolve any discrepancies.
- Record Savings: Track and record cost savings achieved through effective purchasing strategies and negotiations.
- Price Comparisons: Conduct price comparisons and evaluate supplier quotations to ensure cost-effectiveness.
- Documentation: Maintain compliant, accurate, and up-to-date records of purchasing activities, including contracts.
- Master Data Management: Create and maintain accurate master data for suppliers, materials, and contracts in procurement systems.
- Inventory Control: Assist in monitoring inventory levels and place orders to replenish stock as necessary.
- Supplier Management: Assist in maintaining a database of approved suppliers and their performance records, raises supplier complaints.
- Compliance: Ensure all purchasing activities comply with company policies, quality processes, SOPs and industry regulations.
- Raising Deviations: Identify, document, and report any deviations from procurement policies or quality procedures, and collaborate with relevant stakeholders to resolve them.
Requirements
- Completed commercial or technical degree (HTL, HAK, MBA, University, FH).
- At least five (5) years relevant cross-functional work experience in a regulated industry, preferably as a Buyer.
- High self-organizing abilities, social competence, combined with business-oriented behavior.
- Independent work style, strategic and analytical (process)-approach.
- Fundamental MS-Office skills (Word, Excel, Power Point) and experience with different ERP-Systems (e.g. MS-Dynamics).
- Very good proficiency in English and German (French is a plus).

Due to legal reasons we are obliged to disclose the minimum salary for this position, which is € 44.000,- gross per year based on full-time employment. However, our salaries are market-oriented and in line with your qualifications and experience.
