We’re seeking a Head of Finance & Business Operations — a strategic, hands-on leader with strong bookkeeping and reporting skills, system expertise, and a passion for empowering teams.

About the Role

This role goes beyond bookkeeping. You’ll oversee finance, administration, team performance, and growth initiatives. Your responsibilities include maintaining operations, leading the team, and fostering a results-oriented, service-focused culture.

You’ll collaborate with the Director to interpret financial data, manage ROI, oversee daily operations, and support the company’s culture and growth.

What You’ll Be Doing

  1. Manage all internal finance functions using Xero (advanced skills required).
  2. Perform daily reconciliations for payments, bank, cash, and deposits.
  3. Ensure accurate job costing and reporting via ServiceM8 and Ascora.
  4. Handle payroll preparation, timesheet tracking, and team performance monitoring.
  5. Prepare monthly reports, cash flow forecasts, and profit & loss analyses.
  6. Ensure BAS, PAYG, and EOFY data accuracy for lodgement.
  7. Monitor job margins, charge rates, and profitability per technician.
  8. Lead and support the admin team with structure, feedback, and KPIs.
  9. Analyze marketing ROI on PPC, Google Ads, and campaigns.
  10. Track enquiry-to-booking conversion rates and follow-up success.
  11. Develop dashboards and reporting tools, utilizing advanced Excel skills.
  12. Use Microsoft Teams for staff collaboration and management.
  13. Maintain asset registers and assist with procurement and renewals.
  14. Ensure smooth handovers, accurate documentation, and CRM data integrity.
  15. Support scheduling and client communication when needed.
  16. Contribute to building scalable systems for future trades (e.g., electrical, air conditioning).
  17. Promote team cohesion through training, results, and work culture initiatives.

What You’ll Bring

  1. Advanced knowledge of Xero and bookkeeping principles.
  2. Proficiency in Microsoft Excel and business analysis.
  3. Experience with ServiceM8, Ascora, and similar systems.
  4. Proven results-driven mindset, not just bookkeeping.
  5. Strong communication, delegation, and leadership skills.
  6. Experience managing office staff or trades operations.
  7. Ability to hire, train, and hold team members accountable.
  8. Confidence to make informed decisions independently.
  9. Passion for team building, system improvement, and target achievement.
  10. Experience with Fathom or similar reporting tools is a bonus.
