Job Purpose:
The Interview Coordinator is responsible for providing logistics, coordination, communications, and administrative support to candidates and stakeholders. They support transforming engaged candidates into employees and facilitate career progression for existing employees by delivering an empowering experience to applicants, candidates, and internal recruitment process customers.
Accountabilities:
- Deliver interview logistics, coordination, and administrative support, ensuring all information is tracked and logged appropriately.
- Manage interview logistics for candidates, ensuring all requirements and time frames are met.
- Coordinate activities such as scheduling interviews, booking accommodations and tickets, Meet & Greet services, requesting visas, delivering meal allowances, and communicating special assessment instructions.
- Prepare panel packs and interview guides in a timely manner.
- Provide exceptional and personalized services to executive candidates as needed.
- Initiate requests for exceptional approvals during interviews as required.
- Suggest solutions for system-related issues associated with interview logistics.
- Maintain confidentiality of candidate information in Taleo, email, and documents.
- Escalate questions and concerns to managers and recruiters when necessary.
- Ensure availability of appropriate rooms, assessment spaces, and tools aligned with candidate and panel needs.
- Contribute to continuous improvement of group interviews based on customer feedback, supporting the direction set by the Interview Logistics Specialist.
- Manage exceptional issues, track progress, liaise with relevant parties, and escalate as needed.
- Build good relationships with team members and offer support when necessary.
- Suggest improvements and develop new materials and tools beneficial for candidates and new employees.
- Maintain knowledge about Qatar and its culture to be an engaging brand ambassador, better supporting candidates and accurately answering their questions.
- Respect all cultures and be aware of cultural variations in communication and interaction.
- Convey a positive image of the company through candidate communication and provide consistent responses to common questions.
- Perform other departmental duties as directed by the Head of Department.
