Job description

Position Objective
We are seeking an experienced Event Project Manager to oversee the planning, organization, execution, and promotion of the upcoming Strategy Launch Exhibition. The role involves ensuring the event is delivered successfully within scope, budget, and timeline, while aligning with Madas brand and strategic objectives.

Key Responsibilities
1. Planning & Coordination

Develop a detailed project plan and timeline, defining milestones and deliverables.

Align event concept and execution with Madas brand and strategic vision.

2. Liaison with Event Management Company

Act as the primary contact with the appointed event management company.

Review and approve proposals, designs, and budgets.

Monitor compliance with quality, budget, and contractual obligations.

3. Coordination with Venue Management

Secure necessary permits and approvals.

Ensure health, safety, technical, and accessibility compliance.

Manage venue logistics, access, and operational requirements.

4. Internal Coordination

Collaborate with design and communications teams to ensure consistency.

Facilitate timely internal approvals for event materials.

Maintain alignment of messaging and branding across all touchpoints.

5. Media & Communications Campaign Management

Coordinate with the Communications Department on campaign planning.

Integrate media and PR campaigns into the overall event plan.

Oversee brand alignment across communication channels.

6. Event Execution Oversight

Supervise event setup and on-site operations.

Ensure technical readiness and accessibility across all components.

Monitor suppliers and vendors, troubleshooting issues as required.

7. Post-Event Management

Supervise event dismantling and closure.

Consolidate media coverage and event highlights.

Prepare and submit a comprehensive post-event closure report.

Governance & Quality Assurance

Implement risk management and contingency planning.

Define performance metrics and feedback mechanisms.

Ensure compliance with accessibility and inclusivity standards.

Detailed project plan and timeline.

Integrated media and communications campaign plan.

Status updates and progress reports.

On-site supervision records.

Final post-event closure report.

Qualifications & Experience

Minimum 8 years of proven experience in large-scale event management.

Strong project management, organizational, and negotiation skills.

Fluency in Arabic and English (written and spoken).

Experience in venue coordination, media campaign management, and branding.

Knowledge of protocol, accessibility standards, and risk management.

Excellent stakeholder management and communication skills.

Duration: 4 months

Working Hours: Sunday to Thursday, 7:00 AM 2:00 PM (with flexibility for evenings/weekends as required)
