The Office Service Specialist supervises and coordinates office service activities related to the management of equipment and facilities for the UAE.

The responsibilities and key activities include:

  1. Overall maintenance of all facilities, with a focus on staff accommodation, ensuring compliance with policies, laws, regulations, and standards.
  2. Forecasting additional equipment requirements.
  3. Ensuring timely payment of bills related to lease, utilities, and services in coordination with the finance team.
  4. Informing employees living in facilities about rules and safety precautions.
  5. Managing Accommodation Officers and optimizing facilities (offices, warehouses, accommodation), including lease renewals.
  6. Managing office supplies, equipment, and inventory within the facilities budget.
  7. Liaising with managers to ensure office administration guidelines meet current and future needs.
  8. Managing relationships with external suppliers such as cleaning, maintenance contractors, and equipment vendors.
  9. Managing travel arrangements and bookings.
  10. Overseeing the management of the car fleet and fuel usage.
  11. Handling invoice reconciliation, cost booking, and allocation monthly.
  12. Raising purchase requisitions and monitoring goods receipts.
Professional requirements
  • Bachelor’s degree in a relevant field
  • 4-6 years of relevant experience
  • Cost-consciousness and basic financial reporting understanding
  • Knowledge of office administration and facility services providers in the UAE
  • Proficiency in Microsoft Excel; SAP experience is a strong advantage
  • Experience with invoice management processes
  • Fluency in English
