The Office Service Specialist supervises and coordinates office service activities related to the management of equipment and facilities for the UAE.

The responsibilities include:

  1. Overall maintenance of all facilities, focusing on staff accommodation, ensuring compliance with policies, laws, regulations, and standards.
  2. Forecasting additional equipment requirements.
  3. Ensuring prompt payment of bills related to leasing, utilities, and services in collaboration with the finance team.
  4. Informing employees living in facilities about rules and safety precautions.
  5. Managing Accommodation Officers.
  6. Optimizing facilities (offices, warehouses, accommodation) and renewing leases timely.
  7. Managing office supplies, equipment, and inventory within budget.
  8. Liaising with managers to ensure office administration aligns with business needs.
  9. Managing relationships with external suppliers such as cleaning, maintenance contractors, and equipment vendors.
  10. Managing travel arrangements and bookings.
  11. Managing the car fleet and fuel usage.
  12. Handling invoice reconciliation, cost booking, raising purchase requisitions, and monitoring goods receipts.
Professional Requirements
  • Bachelor’s degree in a relevant field.
  • 4-6 years of relevant experience.
  • Cost-consciousness and basic financial reporting understanding.
  • Knowledge of office administration and facility services providers in the UAE.
  • Proficiency in Microsoft Excel; SAP experience is a strong advantage.
  • Experience with invoice management, including reviewing, approving, and raising purchase requisitions.
  • Fluency in English.
