Maximize hotel revenue, profit, and market share through the development and implementation of successful inventory and pricing strategies, based on the evaluation of current and anticipated market conditions. The Reservations Manager is responsible for the efficient functioning of the Reservations department.
Key Responsibilities
- Manage room inventory to achieve optimal results in occupancy, average rate, and revenue. Review daily reservations accuracy, rates compliance from segments and sources, system close-out when necessary, and rate availability.
- Train, develop, and motivate staff to increase productivity.
- Participate in staff recruitment, organize on-the-job and monthly training for all staff, supervise and manage performance to ensure client satisfaction and adherence to Kempinski service standards.
- Maintain good working relations with other departments and keep close contact with regular guests, ensuring their needs are identified and relayed to concerned departments for service delivery.
- Review MyFidelio, OCM & PMS availability, keeping sufficient inventory for high-yield segments.
- Ensure all sellable contracted rates are loaded in all systems for ease of use by Reservations.
- Ensure all internal package breakdowns are loaded and align with the financial department.
- Supervise Reservations Agents in their daily duties, including pick-ups, travel agent commissions, and client responses.
- Control no-show and late cancellation charges.
- Update Serenata configuration, offers, and confirmation letters in line with corporate design, if applicable.
- Ensure the team is aware of the internal credit policy.
- Follow up on lost business and communicate findings to department superiors.
- Monitor developments at competitor hotels (occupancy, renovations, campaigns, events).
- Spot-check reservations made the previous day and verify VIP arrivals.
- Prepare monthly reports.
- Maintain reservation standards.
- Keep the department informed of system or procedural changes.
- Monitor reservation pickup for upcoming months.
- Maximize employee productivity and morale, maintain discipline within hotel guidelines and regulations.
- Achieve a test call LQA/IFH result > 85%.
- Maintain an internal upsell program for the Reservations department (benefits/team competition).
- Schedule employees according to business levels to optimize productivity and control payroll costs.
- Recruit suitable employees following policies and procedures.
- Conduct annual performance evaluations.
- Perform other duties as assigned by management.
