Qatar Airways Group's Qatar Executive is seeking a Crew Logistic & Records Officer to arrange and monitor crew travel, hotels, and documentation. The role ensures accurate records in the operations system and verifies visa requirements are fulfilled for smooth operations.

The successful candidate will coordinate with service providers, maintain crew qualifications, and ensure regulatory compliance while supporting cost efficiency and reliable service delivery across QE operations.

Responsibilities

• Coordinate and monitor crew logistic tasks including travel and hotel bookings.

• Notify stakeholders of crew GD and travel updates.
• Update crew qualifications in the management system.
• Escalate training and document expiry to the senior crewing officer.
• Prepare monthly attendance sheets and certificates data.

In this role, you will be responsible for arranging, coordinating and monitoring the fulfilment of logistic tasks related to crew transportation, hotel bookings, travel arrangements and documentation. Maintaining and updating crew records in the operation management system and ensuring mandatory visa requirements for crew are fulfilled and monitored.

Other key responsibilities include:

• Providing arrangements and coordinating with service providers in order to adequately plan and execute crew logistic requirements for flight duty. Constant monitoring of arranged services to ensure efficient operations.
• Arrange and monitor crew mandatory visa and vaccination process with relevant authorities in order to meet operational requirements
• Coordinate station entry requirements with adequate service providers in order to ensure regular operations.
• Arrange Crew GD and travel notification to stakeholders in order to ensure QE operations are executed in efficient and reliable manner.
• Plan, arrange and execute crew logistic related actions in the manner to meet Company and department main objectives in terms of cost optimization and revenue generation
• Update and monitor crew records in QE/QR Operation management system in order to ensure all required crew documents are valid and up-to-date
• Arrange and monitor crew logistic requirements for training duty in liaison with Flight ops support team in order to ensure efficient and cost-effective services arrangement
• Escalate to Senior crewing officer on crew training and documents expiry in order to fulfil all regulatory requirements for QE operations.
• Arrange for monthly request of attendance sheets and certificates from QR respective departments in order to ensure availability of all required data for QE operations.
• Update all crew qualifications in the management operating system in order to ensure accurate data availability for operational reference.
• Execute tasks and follow set-up work processes in the manner to ensure compliance with company policies and procedures and in line with instructions from respective department.
