Responsibilities

• Maintain books of accounts using the company’s accounting software.
• Record daily financial transactions and prepare monthly/quarterly/annual reports.
• Reconcile bank, customer and supplier accounts, credit cards and petty cash.
• Process supplier invoices, purchase orders and payments; manage ledgers.
• Support payroll preparation, VAT and other statutory requirements in Qatar.
• Assist with year-end closing and liaise with external auditors.

Job description

The Accountant will manage day-to-day accounting operations, maintain accurate financial records, support project and maintenance billing, monitor receivables and payables, and ensure compliance with company policies and applicable Qatari financial regulations. The role will support the financial control of HVAC sales, equipment rentals, maintenance contracts, projects, tenders, and general trading activities.

Key Responsibilities:

General Accounting

• Maintain accurate and up-to-date books of accounts using the company’s accounting software.
• Record daily financial transactions, including sales, purchases, expenses, journal entries, and bank transactions.
• Prepare monthly, quarterly, and annual financial reports, including profit and loss statements, balance sheets, and cash-flow reports.
• Reconcile bank accounts, customer accounts, supplier accounts, credit cards, and petty cash on a regular basis.
• Maintain proper supporting documents for all financial transactions and ensure an organized filing system.
• Assist in month-end and year-end closing procedures.
• Support external auditors during annual audits and provide required schedules and documents.

Accounts Receivable

• Prepare customer invoices for HVAC unit sales, spare parts, rental equipment, maintenance services, and project works.
• Monitor customer outstanding balances and follow up regularly for timely collection.
• Prepare aging reports and highlight overdue accounts to management.
• Coordinate with the sales and projects teams to resolve billing queries, delivery notes, and customer disputes.
• Maintain accurate records of customer credit limits, payments, receipts, and balances.

Accounts Payable

• Process supplier invoices, purchase orders, delivery notes, and payment requests.
• Verify invoices against purchase orders, quotations, contracts, and goods-received notes before payment.
• Prepare supplier payments, cheque requests, bank transfers, and payment schedules.
• Maintain supplier ledgers and reconcile supplier statements.
• Monitor due dates and ensure timely payment of suppliers, subcontractors, and service providers.

HVAC Sales, Rental, and Projects Support

• Maintain records of HVAC equipment sales, quotations, proforma invoices, delivery notes, and customer invoices.
• Track rental equipment, rental periods, monthly rental invoices, returns, damages, and customer balances.
• Support project accounting by monitoring project costs, subcontractor payments, material purchases, and project profitability.
• Assist in preparing cost reports for maintenance contracts, installation projects, and tender-related activities.
• Coordinate with the operations, procurement, and project teams to ensure accurate costing and billing.

Payroll and Statutory Compliance

• Assist in monthly payroll preparation, including salaries, overtime, allowances, deductions, and leave settlements.
• Maintain employee records related to salaries, advances, loans, and end-of-service calculations.
• Ensure timely payment of salaries through WPS, where applicable.
• Assist with VAT, corporate tax, and other statutory requirements as applicable in Qatar.
• Ensure compliance with company financial policies, internal controls, and Qatari regulations.

Cash Management

• Manage petty cash and ensure proper documentation of all expenses.
• Monitor daily cash collections and deposits.
• Prepare cash-flow forecasts and inform management of expected payments and collections.
• Support effective control of company funds and prevent unauthorised or undocumented expenses.
