Position Description

We are looking for a friendly, organized, and proactive Receptionist to be the first point of contact for our company. This role involves welcoming guests, managing front desk operations, supporting office logistics, and ensuring a smooth flow of communication and services within the office. The ideal candidate will be detail-oriented, communicative, and capable of multitasking in a dynamic environment

Position Description

  • You greet and register visitors, inform employees of arrivals, and prepare meeting rooms with necessary supplies.
  • You answer incoming phone calls and emails, providing accurate information or redirecting as needed.
  • You handle incoming and outgoing mail and courier shipments, ensuring proper documentation and archiving.
  • You schedule and coordinate meetings, manage conference room bookings, and oversee parking reservations.
  • You monitor office and kitchen supplies, place orders, and keep shared spaces tidy and well-stocked.
  • You prepare documents, process supplier invoices, and report technical issues to maintain smooth office operations.
  • You support onboarding communication and assist in organizing company events and internal meetings.
  • You build and maintain positive relationships with guests, employees, and partners, contributing to a strong company image.

Position Requirements

  • You have at least 1 year of experience in a receptionist, front office, or similar administrative role.
  • You hold a Bachelor’s or Master’s degree, preferably in administration or a related field.
  • You communicate fluently in both Polish and English, with strong written and verbal skills.
  • You are proficient in MS Office (Word, Excel, Outlook, PowerPoint) and comfortable using office equipment.
  • You are highly organized, detail-oriented, and able to multitask effectively.
  • You prioritize tasks well, solve problems independently, and stay calm under pressure.
  • You handle confidential information with discretion and professionalism.
