Job summary

Westinghouse Electric Company is seeking a reading room coordinator in Warsaw to support the review process of sensitive documentation. You will manage visitor access, ensure compliance with control measures, and coordinate room reservations for a secure review environment.

The role is hybrid, reporting to the Poland Project Engineering Manager, with 4-5 days in the office. A high school diploma and EDMS familiarity are required, along with data entry and teamwork skills.

Qualifications

• Basic knowledge of Electronic Document Management Systems (EDMS) and tool utilities.
• Ability to perform data entry.
• 1+ years of experience with record attributes.
• Basic knowledge of revision/version control.
• Basic knowledge of document types.
• Experience with web-based technologies.
• Basic knowledge of query/search functions.
• Basic knowledge of records management security policies.
• Basic knowledge of Microsoft office suite
• Strong interpersonal skills, experience working in a team environment.

Responsibilities

• Requests and manages visitor access to the Warsaw office.
• Oversee daily operation of the Reading Room and EXTDOCS Reading Room cabinet.
• Ensure compliance of control measures for all physical material.
• Ensure materials are available, complete and logged.
• Assist users and enforce procedural compliance during sessions.
• Manage room reservations and document requests at 'Poland AP1000 Documentation Request' form.
• Communicate with Westinghouse Document Control for the release of the documents to EXTDOCS.
• Communicate with Engineering Teams on the application of Export Control Levels within PRIME.
• Review access logs and investigate any reported violations.
• Input, review and verify all information entered in the Electronic Document Management System (EDMS) to ensure completeness and correctness.

As a reading room coordinator, you will support the review process and physical reading room allowing third parties and clients the opportunity to review specified Westinghouse intellectual property in a secure environment.

You will accommodate the interactions with scheduling availability of the reading room and ensure that guests invited and scheduled to review Westinghouse documentation follow all protocols.

You will report to the Poland Project Engineering Manager and be located at Warsaw office. This role is hybrid with 4-5 days at office.

We are committed to transparency and equity in all of our people practices. The gross base salary range for this position, which is dependent upon experience, qualifications and skills, is estimated to be 6,083 to 7,608 PLN gross per month. In addition to the base pay, this role may be eligible for incentive pay based on company and individual performance.
