A Snapshot of Your Day

As a Project Coordinator, you will play a vital role in supporting Project Managers and project teams involved in offshore execution projects. Your responsibilities will include preparing presentations, reports, and briefings; managing appointments; organizing meetings, events, and workshops; and ensuring follow-up on meeting actions. You will also coordinate project travel arrangements and handle monthly reporting, maintaining effective communication with team members, customers, and management.

Your key responsibilities:

  1. Project Support: Provide administrative and operational support to the project team, including IT tasks, onboarding new members, maintaining organizational charts, and managing access to project contracts.
  2. Correspondence Management: Establish and oversee project communication protocols, including communication plans, matrices, and flow processes for internal and external stakeholders.
  3. Documentation and Reporting: Assist in preparing presentations, reports, and briefings; lead the monthly reporting process to ensure clarity and accuracy.
  4. Meeting Coordination: Schedule and facilitate project meetings, events, and workshops; record outcomes and follow up on action items.
  5. SharePoint Administration: Manage the project SharePoint site, including access rights and organization.
  6. Mentorship and Support: Guide team members on lessons learned and promote continuous improvement.
  7. Travel Management: Coordinate travel arrangements, ensuring policy compliance; occasional travel may be required.
  8. Team Communication: Maintain clear communication channels with all project stakeholders.
