Job summary

Aon is seeking an HR Specialist - Late Shift, fluent in French, to manage the end-to-end offer and pre-hire process in a global, hybrid role. You will coordinate across regions, partners, and HR systems to ensure timely, compliant onboarding from offer to start date.

You will work with Talent Acquisition, HR Business Partners, and regional teams, maintaining data accuracy and providing clear updates to candidates and stakeholders.

Qualifications

• Several years’ experience in HR, Talent Acquisition operations, onboarding, recruiting coordination, or a similar process-driven role.
• Ability to manage deadline-driven processes across regions or time zones with strong organization.
• Experience with HR systems (ATS/HRIS) and MS Office; high data accuracy and confidentiality.

Responsibilities

• Manage offer activity globally from acceptance through start date and ensure timely steps.
• Prepare, review, and issue offer docs, contracts, and addenda using templates.
• Coordinate pre-hire activities like background checks and work authorisation.
• Serve as primary contact for candidates post-offer with updates on pre-employment tasks.
• Partner with Talent Acquisition, HRBP, hiring managers, payroll, and regional teams.
• Maintain accurate data across ATS/HRIS and other HR systems; audit-ready records.
• Identify delays or gaps and escalate or resolve them; support standardization efforts.

What the day will look like

As a HR Specialist, you will support the end-to-end offer and pre-hire process from offer acceptance through start date, helping to ensure a timely, accurate, and compliant onboarding experience. Your day may include:

• Managing offer activity globally from acceptance through start date, ensuring all required steps and approvals are completed on time
• Preparing, reviewing, and issuing offer documentation, contracts, and addenda using approved templates and regional guidance
• Coordinating and tracking pre-hire activities such as background checks, work authorization, references, and other market-specific requirements
• Serving as a key point of contact for candidates post-offer, providing clear updates and guidance on pre-employment and onboarding tasks
• Partnering with Talent Acquisition, HR Business Partners, hiring managers, Compensation & Benefits, Payroll, and regional HR teams to confirm offer details and pre-hire readiness
• Maintaining accurate data and documentation across HR systems (ATS, HRIS, background screening platforms, digital signature tools) and ensuring records are audit-ready
• Identifying routine delays, data discrepancies, or process gaps and resolving or escalating them as appropriate
• Supporting process standardization, documentation, and improvement initiatives related to global offer management and onboarding

Skills and experience that will lead to success

• Several years’ experience in HR, Talent Acquisition operations, onboarding, recruiting coordination, or a similar process-driven role, ideally in a global or multinational environment
• Proven ability to manage deadline-driven processes involving multiple collaborators, regions, or time zones, with strong organization and attention to detail
• Confidence working with HR and recruiting systems (e.g. ATS, HRIS, background screening and digital signature tools) and Microsoft Office
• Excellent verbal and written communication skills, with a professional, supportive style when interacting with candidates and internal partners
• Strong sense of integrity and confidentiality, with experience handling sensitive candidate and employee data and a focus on compliance and data accuracy
