The Department of Community Health Sciences (CHS) is the leading unit of its type in Pakistan, recognized regionally and internationally for the relevance, quality, and extent of its work in support of public health and the development of primary health care systems. It comprises of five major operational sections: Epidemiology & Biostatistics, Health Policy & Management, Population & Reproductive Health, Environmental Health & Climate Change, and Non-communicable Diseases & Mental Health.

This is a short term grant-funded contractual position.

Responsibilities

You will be responsible to:

  • assist in managing various types of payment requests, such as daily wages, travel, advances, adjustments, and reimbursements, ensuring that all submissions are accurate and comply with organizational policies
  • follow up with the finance department for timely payment transferred
  • help in the preparation of petty cash statements by checking bills for compliance and addressing any queries raised during finance audits
  • maintain petty cash funds, ensuring that all transactions are accurately documented, and any discrepancies are quickly identified and resolved
  • coordinate with the HRSG team to manage temporary employment related to grants
  • organize and maintain accurate records related to third-party contracts, purchase requisitions, and ROPs, ensuring that all data is readily accessible for reporting and analysis
  • prepare purchase requisitions and obtain necessary approvals and signatures, streamlining the procurement process to ensure timely acquisition of goods and services
  • provide support to grant managers by addressing HRSG-related inquiries and ensuring that grant payments are processed accurately and on schedule
  • regularly check and respond to emails to facilitate effective communication within the team and ensure that all inquiries are addressed promptly
  • collaborate with team members to plan and execute events and workshops, providing logistical support and ensuring successful implementation
  • assist the Principal Investigator in initiating the grant checklist, serving as a liaison to help manage the responsibilities associated with grant management and ensure adherence to grant requirements.
Requirements

You should have:

  • intermediate, bachelor’s will be preferred
  • at least one year of relevant experience in finance and administration
  • good computer literacy and excellent command over Microsoft Office fluency in written and spoken English/Urdu
  • good command of written and spoken English and Urdu
  • strong interpersonal and team-building skills
  • flexibility and can work for extended hours/off days
  • ability to deal with challenging situations during routine work.
