Administrative Assistant For A Psychology Practice (4 Hours - Home Based - Morning Shift)
Our Australian-based client is a private psychology practice looking for long-term administrative and operations support.
IMPORTANT:
- This is a home-based job during the second half of Australian business hours (Pakistani morning shift): 8 AM to 12 PM
- This is a long-term position with the prospect of adding more hours, accompanied by an increase in pay.
- This position comes with generous bonuses and annual increments.
- You must have a high-speed internet connection and power backup.
- Except for a one-day holiday on both Eids, no other Pakistani public holidays will be provided.

JOB RESPONSIBILITIES: This position entails someone primarily maintaining control of the admin and operations of a psychology practice. This job requires the ability to multitask, handle deadlines, and be proactive with a problem-solving mindset, ensuring the business runs smoothly.
DUTIES:
- Managing inbox
- Responding to client queries and problem-solving
- Managing and scheduling client appointments
- Processing payments, invoices, and rebate claims
- Keeping client records up to date
- Managing rosters of the therapists
- Generating periodic reports and actioning based on the therapist's feedback
- Onboarding/offboarding therapists
- Coordinating with the team
- Keeping comms up-to-date
- Keeping invoices and receipts organized
- Keeping all media organized
- Uploading & sending weekly blog posts
- Uploading & sending weekly newsletters
- Making small website updates via Squarespace (no coding needed)
- Coordinating regularly with the director
QUALIFICATIONS:
- This job will require an understanding and knowledge of how PowerDiary works. Training will be provided.
- Fluency in English, both verbal and written with a strong command over grammar, punctuation, and spelling
- Microsoft Word, Excel, PowerPoint
- Google Drive & Google Apps
Not required but will be a plus (Training can be provided):
- Squarespace or familiarity with any other drag-and-drop site builder
- Mailchimp or familiarity with any other email marketing app
- Canva or any other graphic design tool
