Profile Requirements:
- Experience Level: Minimum 3-5 years of administrative or virtual assistant experience, ideally in a fast-paced or founder-led environment; must demonstrate reliability and adaptability.
- Cannabis Industry Knowledge (Preferred): Experience supporting a licensed cannabis operator, or understanding of compliance, POS systems, and cannabis-related business workflows is highly desirable.
- Systems & Tech Savvy: Proficiency with tools such as Google Workspace, Slack, WhatsApp, Zapier, and Airtable; experience setting up efficient digital workflows and automations.
- Exceptional Organization & Initiative: Able to bring structure to chaos; thrives on organizing information, following up on incomplete tasks, and nudging projects to completion without constant oversight.
- Discretion & Cultural Fit: Comfortable working in the cannabis space and aligned with plant-based wellness; must be compassionate, nonjudgmental, and able to handle sensitive information discreetly.
- Flexible Communication & Time Zones: Willing to work during U.S. Pacific hours or overnight shifts to ensure founder wakes up to a completed to-do list; WhatsApp and async-friendly preferred.
Core responsibilities:
- Project Coordination & Task Follow-Through: Track loose ends across multiple concurrent projects and ensure timely execution. Help manage the founder’s overflowing to-do list, document action items, and maintain forward momentum day to day.
- Compliance & Inventory Data Entry: Log completed sales and inventory movement into the appropriate POS and state-mandated cannabis compliance systems (e.g., METRC or equivalent) to ensure regulatory alignment.
- Inbox, Email & Communication Management: Filter and organize high-volume inboxes; flag key communications; draft, send, and follow up on professional emails, grant research inquiries, and nonprofit correspondence.
- Workflow Optimization & Automation: Set up or maintain time-saving tools and automations (e.g., Zapier, Google Workspace, Airtable) to streamline operations across marketing, logistics, and back-office functions.
- Document & File Organization: Digitize scattered notes, research, and ideas into clean, searchable systems or folders. Help capture the founder’s vision in tangible formats and support execution.
- Admin Support Across Ventures: Provide flexible support across multiple ventures and collaborations, including assistance with grant research, nonprofit filing support, and light bookkeeping if skilled.
