A high-end residential design firm is seeking a proactive Virtual Assistant to provide appointment-setting and administrative support. Lively Luxury Designs is a high-end residential design and remodeling firm based in Texas—with plans to expand into new U.S. markets. We’re looking for a proactive and reliable Virtual Assistant to join our operations team. This role blends appointment setting, client communication, administrative coordination, and light social media support.
Ideal candidates will have experience supporting design, construction, or service-based businesses, and are comfortable managing tasks independently.
Respond to inbound leads via phone, email, and JotForm submissions
Qualify leads and schedule consultations through Housecall Pro or a similar platform
Manage internal calendars (Google Calendar, Housecall Pro) and coordinate appointment logistics
Conduct timely follow-ups for consultation reminders and unclosed leads
Maintain accurate lead and client records in our CRM and tracking systems
Provide general administrative support, including document management and client communication
Assist with social media posting and monitoring via Meta Business Suite
Repost branded content, support Instagram/Facebook Stories, and track engagement
Follow up after consultations to ensure project details are logged and next steps are clear
1–2+ years experience in a VA or administrative role (ideally in design, construction, or home services)
Strong appointment-setting and client communication skills
Tech-savvy and comfortable using:
Google Workspace (Docs, Sheets, Calendar, Drive)
Housecall Pro or similar scheduling/CRM tools
JotForm or other form submission tools
Meta Business Suite (for content scheduling and engagement)
Excellent written and verbal communication in English
Highly organized, detail-oriented, and self-motivated
Schedule: Monday–Friday, 9 AM to 5 PM CST
Pay: $6–$8 USD/hour based on experience
Start Date: ASAP (once the right candidate is selected)
